2. Data and purposes

Depending on your use, we process:

  • connection and log data for secure website operation;
  • contact, company and account data;
  • pickup, delivery, cargo, timing, document and communication data;
  • quotation, order, invoice, payment-status and refund data;
  • security, abuse-prevention, evidence and complaint data.

We use this data to answer inquiries, prepare and perform contracts, coordinate transport, account for services, support customers, comply with documentation duties and protect our systems and legal positions.

3. Legal bases

Depending on the activity, processing is based on pre-contractual steps or performance of a contract (GDPR Article 6(1)(b)), legal obligations (c), legitimate interests in secure operations, communication, abuse prevention and legal claims (f), or consent where required (a). Consent may be withdrawn for the future.

4. Website, language and security

When the website is accessed, technical infrastructure processes standard connection data such as IP address, time, URL, browser identifier and transfer status. Your language is stored locally in your browser as hangkai-lang. We currently use no marketing or reach analytics on the public pages.

Public inquiry forms and customer-portal registration and login use Cloudflare Turnstile to identify automated or abusive submissions. Cloudflare processes technical connection and verification data; see the Cloudflare privacy policy.

5. Inquiries, orders, files and communication

For inquiries and orders, we process the contact, address, cargo, timing and loading information provided. Selected PDF, JPG, PNG or WebP files are checked by type and size, stored internally or emailed to the responsible team, and are not published as public files.

If you use WhatsApp, WeChat or another external communication service, that provider also processes data under its own terms. For particularly confidential documents, use email or the agreed customer portal where possible.

6. Payment and refunds

For payment, we process order amount, currency, status, transaction or payment reference and the data needed for reconciliation and refunds. Card, bank or wallet details may be processed directly by the selected payment service provider. We receive only the information required for confirmation, allocation, accounting, fraud prevention and refunds.

7. Recipients and international transfers

Where necessary, data may be shared with hosting, email, security and payment providers, carriers, forwarders, warehouses, delivery partners, IT providers, advisers and competent authorities. Recipients may process data only for the relevant purpose and under applicable requirements.

A route, communication channel or provider outside the European Economic Area may require a third-country transfer. Where applicable, we rely on an adequacy decision, appropriate safeguards or a statutory derogation.

8. Retention

We retain personal data only for as long as needed for inquiries, contracts, accounting, evidence, complaints and system security, or for statutory retention duties. Data is then deleted or anonymised unless required legal claims or obligations prevent this.

9. Your rights

Under applicable law, you may have rights of access, correction, erasure, restriction, portability and objection. You may withdraw consent for the future and complain to a competent data protection supervisory authority.

To exercise your rights, email info@hangkai.de. Provide only the information needed to identify your request securely.
